Frequently Asked Questions (Know before you go!)

What are the dates of the conference?

The conference begins with Ph.D. day at 1 p.m., Sunday, Nov. 3, and ends Wednesday, Nov. 6, after lunch. Please note that Nov. 5 is Election Day. Please consider voting early.

What is the location of the conference?

All sessions will take place in the LSU Student Union, located in the center of campus, except for the Sunday evening Opening Reception at the on-campus hotel, The Cook, and the Tuesday night offsite tour and reception at The Water Campus in Baton Rouge.

Will meals be provided?

Yes. A continental breakfast, refreshments, daily buffet lunches and nightly receptions (with heavy hors-d’oeuvres) are included. On the final day, boxed lunches will be provided for convenience. 

Is there a dress code for the event?

The dress code is business casual.

Where can I find information about the event agenda and schedule?

The agenda and schedule are on the conference website. 

Are there shuttles to transport me from my hotel to the event?

Shuttles are available to and from both The Cook Hotel on campus and the Sonesta hotel nearby, as well as to the Opening Reception at the Cook on Sunday and the Water Campus event on Tuesday evening. A QR code for the bus schedule will be provided on the back of your name badge. View the shuttle schedule here

What parking arrangements are available at the venue?

Visitors may park in the Union Square Parking Garage, located near the Student Union. Visitor parking is available on the second, third, and fourth floors. Rate is $1.50 per hour on weekdays from 7 a.m. to 8 p.m. Metered parking is also available for campus visitors. The cost for metered parking is $1.50 per hour. Debit and credit cards are accepted. Where do I check in at the conference?

The check-in/registration tables are on the second floor of the LSU Student Union, in the East Lobby.

How should I bring my presentation?

Please bring your presentation on a memory stick/thumb drive directly to your session chair for uploading. For more information, contact Ramteen Sioshansi at rsioshan@andrew.cmu.edu.

Will there be Wi-Fi available?

Yes! LSU Wi-Fi login information will be provided at the check-in table and on the back of your name badge.

May I register on-site?

Yes. You will be able to register online via your phone or on a computer at the registration table. The registration webpage is here

Is there an event app?

The Oxford Abstracts program is easy to use and access on your phone. A QR code for the program page will be provided on the back of your name badge.

Where will plenary sessions take place?

Plenary sessions will take place in the LSU Student Union's Royal Cotillion Ballroom, Rm. 250, and the Atchafalaya Room, Rm. 339. 

Where will the poster session take place?

The poster session will take place in the rear of the Royal Cotillion Ballroom, Rm. 250.

What will the weather be like? It's fall, after all!

South Louisiana is not yet aware of this thing you call "fall." Forecast temps are for lows in the mid-60s (F) and highs in the mid-80s, with a 20 percent chance of rain. And humidity, of course.
